Assessors have read thousands of these, so a generic paste of the code's wording reads as a red flag, not a match.

Two operating facts shape how you prepare. ACS offers no pre-assessment advice and does not review drafts, so your first submission is effectively your only clean shot. And ACS does not require an English language test at any stage, which surprises applicants who carry that assumption from the visa process. Passport and Government-Issued Identity Proof

Submit the photo page of your current passport. The name and date of birth must match every other document exactly; a middle name on your degree but not your passport is enough to prompt a query. Only professional experience gained after age 18 counts toward your assessed years.

Academic Transcripts and Degree Certificates

Provide both the full academic transcript (every subject and grade) and the degree certificate, as certified copies. If you hold a master's degree, ACS requires documentation for all underpinning qualifications, including the bachelor's that made you eligible for the master's. A degree certificate alone, with no transcript, will not establish an ICT major.

Employment Reference Letters and Payslips

Each employment period needs a reference letter meeting the thirteen-field standard described below, backed by at least two independent types of payment evidence: payslips, tax records, bank statements showing salary credits, or a superannuation statement. One payslip is not enough. The payment evidence must be commensurate with the skill level you are claiming.

Why ACS Does Not Ask for an English Test

You do not attach IELTS, PTE, or any English result to an ACS application. Stating this plainly saves you chasing a test result ACS will not look at. Keep your English evidence for the visa stage instead.

Documents Required Under the Formal Qualifications Pathway

This is the standard route for applicants with a recognised ICT degree. You submit qualifications plus employment references. Do not pad the file with vendor certifications: ACS accepts those only for RPL or for Cyber Security and DevOps applications, so attaching your Azure or CCNA certificate as a General Skills applicant adds material an assessor will disregard.

Additional Evidence the RPL Pathway Requires

RPL is for applicants whose qualifications are non-ICT or insufficient. On top of the employment references, you write two RPL project reports describing ICT projects you delivered, and you supply evidence of professional currency (recent, relevant work). How to Certify and Format Each Document for ACS

Getting Academic Transcripts Officially Certified

A certified copy means an authorised person (a notary, a Justice of the Peace, or the issuing institution itself) has stamped and signed the copy as a true reproduction of the original. A scan of a scan fails. If your university issues sealed digital transcripts, that official digital version is usually cleaner than a re-certified paper copy.

NAATI, and the Inside vs Outside Australia Translation Rule

Any non-English document needs a translation submitted alongside the original. Inside Australia, the translator must be NAATI-accredited (National Accreditation Authority for Translators and Interpreters). This is the rule most checklists cite and stop at. For documents translated outside Australia, ACS also accepts certification from the originating country's Ministry of Justice, from Australian Education International, or from an equivalent government authority. A Google Translate output or a bilingual colleague's version is rejected outright, whichever side of the border you are on.

What an Employment Reference Letter Must Say for ACS to Accept It

The thirteen mandatory fields, per ACS InfoHub, cover: company letterhead with the business website URL; your full name; job title; exact start and end dates; a description of actual duties; hours worked per week; employment status (permanent, part-time, or contractor); annual pre-tax salary and benefits; work location (in Australia or outside); and the author's name, position, signature, and contact details. Where a digital signature is used, it must carry a digital verification certificate. For multiple roles at one employer, ACS wants a table with columns for position title, start date, end date, and location, with the duties bulleted under each.

Compare two duty descriptions for the same job. A rejected version reads: "Responsible for analysing, developing, testing and deploying software applications", lifted almost word for word from the ANZSCO Software Engineer descriptor, with no salary and no weekly hours stated. An acceptable version reads: "Jane Smith worked 38 hours per week from March 2019 to June 2022, building and maintaining our Java-based payment reconciliation service, writing JUnit test suites, and releasing through a Jenkins pipeline, at an annual pre-tax salary of AUD 95,000." The second names real work, real tools, and the mandatory fields; the first gives an assessor nothing to verify.

Documents for Self-Employed Applicants and Employment Gaps

If you cannot obtain an employer reference, whether you ran your own business or the company no longer exists, ACS accepts a statutory declaration in its place.

Statutory Declarations and What They Must Cover

A statutory declaration is a legally witnessed statement. To stand in for an employer letter, it has to carry the same substance: your role, the exact dates, the duties you performed, and your weekly hours, declared before an authorised witness. A third party who can confirm your work (a client, a former colleague, an accountant) strengthens it considerably.

Back the declaration with business registration documents, client contracts, invoices, and tax filings that show the business operated and that you worked in it at an ICT skill level. If a recruitment agency placed you, the reference must come from the host company where you actually worked, not from the agency that placed you.

Accepted File Formats, Naming Conventions, and Size Limits

Upload each document as a PDF, scanned at 300 DPI or higher, under 3 MB per file, and not encrypted, password-protected, or read-only. Keep each employment period's reference and payslips grouped logically.

Before you pay and submit, check that every claimed employment period has both a reference and its payment evidence, that every non-English original has its accredited translation, and that your identity details match across all files. Six Document Errors That Cause ACS to Return Applications

1. Duties copied from the ANZSCO code. The most common return trigger. Describe what you actually did, in your own words.

2. Unofficial translation. Anything not from a NAATI-accredited (or accepted overseas government) translator is rejected.

3. Uncertified photocopies. A copy of a copy is not a certified document; get transcripts properly certified or use the institution's sealed digital version.

4. Agency reference instead of the host company. ACS wants the letter from where you worked, not the placement agency.

5. Digital signature without a verification certificate. A pasted signature image fails; a proper digital signature must carry its verification certificate.

6. Missing mandatory fields. No annual salary, no weekly hours, or no company website URL each render an otherwise good reference incomplete.

When ACS spots any of these, it issues a Request for Information (RFI). An RFI pauses the processing clock and gives you a fixed window, commonly 28 days, to supply the missing document. Miss the window or respond incompletely and the delay compounds. An incomplete application is not simply slow; it is formally suspended. A complete General Skills submission typically clears in 4 to 6 weeks per ACS's pathway guidance, while RPL applications commonly run 8 to 12 weeks. Every RFI resets that expectation.
